Zoom integration guide
Vistward can create a Zoom meeting for an event you plan, put its link in the event and in the invitation, and keep the meeting in step when you move or cancel the event. This guide explains how to add the integration, use it and remove it. The Vistward interface is in French: each label is given as it appears, with its meaning.

Before you start
- Vistward installed on macOS, Windows or Linux, with a calendar account.
- A Zoom account that is allowed to schedule meetings. Your Zoom plan and your organization's settings apply (meeting length, passcode, waiting room).
- Vistward Pro, or its 30-day trial, to create Zoom meetings. Connecting, disconnecting and joining a Zoom meeting are free.
- A web browser, used once to sign in to Zoom.
Adding Zoom to Vistward
You connect Zoom once. Vistward asks for it the first time you create a Zoom meeting, or you can connect from the settings.
- Step 1. Open or create an event in the calendar. In the "En ligne" (Online) row, click "Réunion en ligne" (Online meeting), then "Réunion Zoom" (Zoom meeting). Until Zoom is connected, the entry reads "Connexion demandée la première fois" (sign-in asked the first time).
- Or, before planning an event: open the settings (Vistward, Réglages on Mac; Paramètres on Windows and Linux), then Général, section "Réunions en ligne", "Services connectés", and click "Connecter…" on the Zoom row.
- Step 2. In the "Connecter Zoom" window, click "Continuer dans le navigateur" (Continue in the browser). Vistward shows "Terminez l'autorisation dans votre navigateur…" (Finish the authorization in your browser) while it waits.
- Step 3. Your browser opens Zoom. Sign in to your Zoom account if asked, read the permissions Vistward requests (create, update and delete meetings) and click Allow. Zoom shows this page each time you connect a desktop app such as Vistward.
- Step 4. Go back to Vistward. If you started from an event, Vistward creates the meeting at once. In the settings, "Services connectés" now shows Zoom with "Connecté le" (connected on) and the date.
Troubleshooting
The message Vistward shows tells you what happened:
- "L'autorisation n'a pas été donnée. Aucune réunion n'a été créée." (The authorization was not given.) You closed or refused Zoom's page. Choose "Réunion Zoom" again and click Allow.
- "La connexion n'a pas abouti. Réessayez." (The connection failed.) The browser could not return to Vistward. Keep Vistward open during the sign-in, and check that no security software blocks connections to 127.0.0.1 (your own computer). Then try again.
- "Votre compte Zoom ne permet pas de planifier des réunions." (Your Zoom account cannot schedule meetings.) Ask your Zoom account administrator to allow scheduling, or use another Zoom account.
- "Reconnectez Zoom pour créer la réunion." with "Reconnecter…" (Reconnect Zoom.) The authorization ended: it was removed in Zoom, or not used for 90 days. Click "Reconnecter…" and follow the steps above.
- "Impossible de créer la réunion Zoom pour le moment." with "Réessayer" (Retry.) Zoom could not be reached or declined the request for now, for example without a network connection or after Zoom's daily limit of meetings created for one user. Try again later; Vistward never retries in the background.
Using Zoom meetings in Vistward
- Create a meeting: in the event editor, "Réunion en ligne", "Réunion Zoom". Vistward shows "Création de la réunion Zoom…", then a card with the Zoom host, the meeting ID ("ID de réunion"), the passcode ("Code secret"), "Copier le lien" (copy the link) and "Retirer le lien" (remove the link). The meeting gets the event's title (or "Réunion" when it has none), start time, duration and time zone; the other settings come from your Zoom account (passcode, waiting room).
- Invite: when you send the invitation, the join link, the meeting ID and the passcode are included in it and in the event (in the place when it is empty, and at the end of the description), so your guests can join from any calendar.
- Move or rename: change the time or the title of the saved event, and Vistward updates the meeting in Zoom. The join link stays the same. A meeting whose new start is already past is not updated.
- Cancel: click "Retirer le lien", delete or cancel the event, or close the editor without saving after creating the meeting, and Vistward deletes the meeting in Zoom.
- Join: events and received invitations with a Zoom link show "Rejoindre Zoom" (Join Zoom), which opens the meeting in your browser or in the Zoom app. Joining is free.
- Vistward only updates or deletes the meetings it created. It never lists, reads or changes your other Zoom meetings.
- Without the integration, you can still add your Zoom personal room or paste any Zoom link: "Gérer les liens personnels…" and "Coller un lien de réunion…" in the same menu.
What Vistward uses and keeps
Vistward sends Zoom only the event's title, start time, duration and time zone. It keeps the meeting ID, the join link and the passcode in the event, on your computer, and the Zoom tokens in your system's secure vault (Keychain, Credential Manager or Secret Service). It never keeps the host start link. No Vistward server is involved: your Zoom data goes only between your computer and Zoom. Details are in the privacy policy.
Removing Zoom from Vistward
Removing the integration takes two steps: one in Vistward, which erases the authorization from your computer, and one in Zoom, which withdraws it at Zoom.
- In Vistward: open the settings, Général, "Réunions en ligne", "Services connectés", and click "Déconnecter" (Disconnect) on the Zoom row. Vistward erases the Zoom tokens from your computer and says: "Zoom est déconnecté de Vistward. Pour retirer aussi l'autorisation chez Zoom, supprimez Vistward des applications installées de votre compte Zoom."
- In Zoom, step 1: log in to your Zoom account and navigate to the Zoom App Marketplace.
- In Zoom, step 2: click Manage, then Added Apps, or search for the "Vistward" app.
- In Zoom, step 3: select the "Vistward" app.
- In Zoom, step 4: click Remove.
After removal: what happens to your data
Vistward can no longer create, update or delete meetings in your Zoom account. If you remove the app in Zoom without disconnecting in Vistward, Vistward's tokens stop working and it asks you to reconnect the next time; click "Déconnecter" to erase them from your computer.
The meetings Vistward already created stay in your Zoom account, and their links stay in your events, so your guests can still join. If you later cancel one of these events, Vistward cannot delete its Zoom meeting: delete it in Zoom yourself.
Vistward has no server and holds none of your Zoom data, so there is nothing to delete on our side. The meeting IDs and links in your events stay on your computer until you remove the link or the event, remove the calendar account, or uninstall Vistward and its data.
